Maintenance costs

The real maintenance cost of every truck and trailer you run

Shop work orders and outside invoices are added up against each vehicle, and the totals are there on screen, as a CSV or as a PDF. Cost reports start on Pro, as the pricing page shows.

Sample data

Building the cost figure

A cost for every unit

Each truck and trailer shows what it has cost to maintain, on screen or exported as a CSV or a PDF for the owner’s desk.

Overlaps flagged, not merged

If an outside invoice is tied to a work order, that overlap appears on its own line, so a repair keyed in twice is easy to catch before it inflates a total.

Outside shop invoices

Bills from a dealer or a roadside shop are recorded against the unit they were for, read by an AI scan, then approved by someone in the office.

Totals from the job

A work order adds up its own parts and labour: the parts used, plus each mechanic’s logged hours at that mechanic’s rate.

Out of the shop view

Costs do not appear for mechanics on their work orders. The office sees the money; the shop sees the job.

Mechanic history

A CSV of each mechanic’s history helps with the annual review, with setting rates and with deciding whether the shop needs another hire.

Shop work and outside work, side by side

Maintenance money leaves a fleet by two doors. One is your own bay and your own mechanics; the other is the dealer or roadside shop that fixes a truck broken down on the Trans-Canada two provinces from home. Keep the two in separate places and nobody has a true figure for the unit.

RigMD charges both to the vehicle. Work orders contribute their parts and labour, and outside invoices sit against the same unit after an AI scan and an approval. The cost per vehicle report then shows the two kinds of spending on TR-412 together, with any invoice linked to a work order listed on its own so it can be checked.

Figures for the keep-or-trade decision

You can read the report in RigMD, pull it into a spreadsheet as a CSV or print the PDF for a meeting. When you decide whether T-219 earns another winter or goes on trade, you start from its real maintenance cost instead of a guess.

If your fleet tracks cost per kilometre, RigMD supplies the cost per vehicle; divide it by the distance the unit covered for your own rate, and the maintenance cost guide walks through the arithmetic. Premium also gives every tire a cost per mile of its own.

How it works

Four steps to a cost figure

  1. 1

    Finish the jobs

Completed work orders carry the parts and labour that went into each repair.

  2. 2

    Bring in outside bills

Scan each outside invoice against its unit; AI reads it and someone approves it.

  3. 3

    Read the report

Each truck and trailer shows its cost, shop work and outside work combined.

  4. 4

    Export it

Take the report away as a CSV or a PDF, and mechanic history as a CSV.

Questions, answered

Do cost reports need Pro?

Yes. Cost per vehicle, outside invoices, work order totals and mechanic history are on Pro and Premium, and tire cost per mile is a Premium feature. See pricing.

What goes into a vehicle’s cost?

Its work orders, with their parts and labour totals, and the outside-shop invoices recorded against it. An invoice that is linked to a work order shows as a separate overlap line, so it can be checked rather than assumed.

How do outside invoices get in?

Scan the bill against its unit. AI reads it, and a person in the office approves it.

Does RigMD show cost per kilometre?

It shows cost per vehicle, which you can divide by the kilometres a unit ran to get your own rate. Tires are the exception: on Premium, each tire shows its cost per mile.

Can the numbers leave RigMD?

Yes. The cost report exports as a CSV or a PDF, and each mechanic’s history as a CSV.
