Work orders

Run every repair, PM and breakdown on a work order your shop can follow

Whether a truck needs a repair, its PM, an inspection or a tow-in after breaking down, the job goes on a work order. Choose the mechanics, log their hours and the parts, and once the job is closed the driver is emailed that the truck can roll again.

Sample data

Inside each work order

Job type and priority

Each work order is a PM, a repair, an inspection or a breakdown, with a priority. Its status runs open, then accepted, in progress, waiting for parts, and finally completed or cancelled.

Lead mechanic plus helpers

One lead owns the job and assistants can join it. The lead is sent a text and an email and accepts the work.

Time on the job

Mechanics clock in and out with their own timers, or add time by hand when a timer was missed. Each mechanic’s hourly rate prices those hours into the labour total.

Parts used

Key in the parts that went into the repair. Premium adds picking from your parts stock, which lowers the count, and adding tires to the job.

Notes and pictures

Every comment triggers an email alert. Before and after pictures come straight from the phone camera, so the office can see the cracked hose from a desk.

Off dispatch, then back

Set the work order to out of service and the truck drops off the dispatch board with its downtime showing. Once the work order closes, the driver gets a back-in-service email.

Parts delays without the phone calls

A repair that drags on is usually waiting for something from the supplier. Switch the job to waiting for parts and the person who created the work order gets an email, so dispatch learns why T-219 has not left the bay without coming out to ask.

Once the part arrives and work starts again, an email and a text go to the lead mechanic. Hours logged before the delay remain on the work order, and the final parts and labour figures reflect the entire repair, not just the last shift.

A repair record your unit file can use

National Safety Code Standard 11 expects each vehicle file to show the date and nature of every repair and maintenance job, with the parts and invoices behind it, and the odometer at each service or repair. A completed work order holds the job, the mechanics, their time and the parts, and closing it also updates the truck’s odometer reading.

Each work order prints as a PDF for the unit’s file. If you run PM schedules, the daily job creates the PM work orders too, one per due schedule and never a duplicate, and finishing one sets its schedule to the next due date and reading. There is no sticker to reset after T-226’s oil change.

How it works

How a job moves

  1. 1

    Create it

Pick the unit, job type and priority; schedules that come due get their PM work order from the daily job.

  2. 2

    Assign it

Choose a lead and helpers; the lead is texted and emailed, and accepts.

  3. 3

    Work it

Timers run, parts go on, and comments and pictures follow the job as it moves.

  4. 4

    Close it

Mark it completed and file the PDF; the driver gets the back-in-service email.

Questions, answered

Are work orders on Starter?

No, they start on Pro. Pro covers work orders, a lead with assistants, labour timers, parts typed in by hand, pictures and PM work orders from the daily job, and Premium adds parts picked from stock and tires. See pricing.

Do mechanics see repair costs?

No. Parts and labour totals stay with the office; mechanics see the job without the money. More on the mechanics page.

How is labour recorded?

With a start and stop timer for each mechanic, or a time entry added by hand. The mechanic’s hourly rate then prices it into the labour total.

Does PM create its own work orders?

On Pro and Premium it does. The daily job opens a single work order for each schedule as it comes due, and completing it moves that schedule ahead to its next date and reading.

Is there a printable copy?

Yes. Each work order produces a PDF you can print, keep in the unit’s file or pass along.
