Parts inventory

Parts on the shelf, in the right bin, before the truck rolls in

Stock lives in RigMD with part numbers, bins and reorder points, and it moves when a part is picked onto a job. Drop under a reorder point and the company owner hears about it by email. Parts inventory is a Premium feature, compared with the other plans on the pricing page.

Sample data

The stock record, part by part

One line per part

Part number, category, quantity on hand and reorder point sit on each record. Ask whether there is a spare air filter and the screen answers before anyone opens a cabinet.

Where it lives

Every part has a shelf or bin location, for example A-04 or Rack 2, so a mechanic in their first week finds the right drawer without a tour of the parts room.

Stock follows the job

Picking a part onto a work order takes it out of stock, and taking it off that work order puts it back on the shelf count.

Low-stock email

The company owner is emailed when a work order pick leaves a part under its reorder point, which is the moment to order, not after the last one is gone.

Restock by scanning

Supplier invoices can be scanned, and AI reads the lines to add the parts back into stock, which beats typing a forty-line invoice at the end of a long day.

History and export

Each part has its own history, the stock list exports as a CSV for year-end counts, and parts the fleet no longer runs can be archived.

Counts that agree with the bin

A count kept in a separate spreadsheet is always a few days behind. In RigMD the slack adjuster that went on T-226 is picked onto that truck’s work order, so stock drops on the spot instead of whenever someone updates a file on Friday.

Put on the wrong part, take it off the job, and it returns to stock. If the number on screen and the number in the bin still disagree, the part’s history shows where it went, and the monthly count of the parts room goes faster.

Reorder points that watch the critical parts

Set reorder points on what keeps trucks moving through a Canadian winter: air filters, slack adjusters, glad hand seals, block heater cords, and wiper blades before the first snowfall. When a work order pick drops one of those under its point, the owner gets the email.

Since the alert depends on picks, the habit that matters is putting every part on the job it went into. Restocking runs the opposite way: when the supplier’s order lands, scan its invoice and AI reads it to top the counts back up.

How it works

Setting up the parts room

  1. 1

    Load the parts

Enter part numbers, categories, bins, quantities and reorder points.

  2. 2

    Scan deliveries

When an order arrives, scan its invoice and let AI restock the lines on it.

  3. 3

    Pick to the job

Parts picked onto a work order come off the shelf count right away.

  4. 4

    Reorder on the email

The owner’s low-stock email tells you what to order next.

Questions, answered

Is parts inventory on every plan?

No, it comes with Premium. On Pro, parts are typed into each work order; Premium adds picking them from stock so the counts stay right. Compare plans on pricing.

What happens to stock when a part is picked?

The quantity on hand goes down. If the part is later removed from the work order, the quantity goes back up.

Who is told when stock runs low?

The company owner, by email, as soon as a work order pick takes a part under the reorder point you set for it.

Can supplier invoices restock parts?

Yes. Scan the invoice and AI reads it to restock the parts listed on it.

How do we record where a part sits?

Use its shelf or bin location, such as A-04 or Rack 2.

Can we export the stock list?

Yes, as a CSV. Parts keep their history, and the ones you stop carrying can be archived.

Know what is in stock before the truck is on the hoist.
